Support for Add-Ons in Group Components
Stay is enhanced to allow users to include add-ons as components in groups. Previously, users could include only fixed and allowance components in groups.
When add-ons are added as components to a group, then the group rate plan is considered as a group package rate plan. For the reservations booked using group rate plans configured with add-ons, the add-ons are added to the reservations booked for the group.
Select Add-Ons as Group Components
To support this enhancement, the Add Fixed Components option in the Add and Edit pop-up screens (Groups ➜ Room Blocks ➜ Components ➜ Add Components/Edit Components) has been renamed as Add Charge. When clicked, the Add/Edit pop-up screen appears that displays all the individual transactions, inventory items, and add-ons available at the property.
The add-ons are displayed based on the following conditions:

The System Configuration Only checkbox must be selected when creating the add-on (Settings ➜ Rates ➜ Add-Ons ➜ Add).

The add-ons that are active/available within the arrival and departure dates of the group including shoulder dates are displayed for selection. The add-ons that do not match the stay dates of the group are not displayed.

When the duration of the group is extended, the add-ons available for the extended dates are displayed for selection.
The following additional details are displayed for the add-ons and transaction/inventory items in the Add/Edit pop-up screen:

Charge |
For add-ons, the charge configured at the time of creation is displayed. The sum of the charges of all components in an add-on is displayed at the add-on level and cannot be modified. When the accordion is expanded, the charge of each component is displayed and can be modified. For individual transaction and inventory items, the default rate configured for the item is displayed and can be modified. When the item’s charge exceeds the threshold limit configured, the field is highlighted in red with an information icon that displays the following message when hovered upon: Amount entered exceeds default threshold amount allowed. |

Post Charge |
When the accordion for an add-on is expanded, users can select from the following Post Charge options for each component of an add-on and for the individual transaction and inventory items:

Users can add the preferred add-ons to the package by clicking on the Add hyperlink. This hyperlink is displayed at the add-on level and for the add-on components. Each add-on can be selected only once as part of the group. Once an add-on is added, it is no longer displayed for selection.
The selected add-ons are displayed in the Selected section of the Add/Edit pop-up screens. When the accordion for the add-on is expanded, the list of components is displayed along with the amount split-up. The total amount of each add-on is displayed without tax.
Users can remove an add-on at the add-on level only and not the components within the add-on.
When users click Next, they are navigated to the Pricing Inclusion section. This section displays the price configured for the add-ons and the individual transaction and inventory items. The Type column displays the type of component as either Fixed or Allowance.
Users can define the options for the add-ons and fixed components in the Options column. This is a single-select drop-down list that displays the following options:

Mandatory Components |
This option is selected by default. The components marked as Mandatory are displayed in the Book a Reservation as part of the group rate plan. For example, when an add-on, Breakfast, at a cost of $100 is marked as mandatory, then the cost of the add-on is added to the nightly room rate and displayed. The charge configured for the mandatory components are automatically added to the group reservations created for the group. By default, the allowance components are marked as Mandatory. |

Optional Components |
When components are marked as Optional, the charge configured for the components is not added to the group reservation automatically. The optional components must be added to the group reservation manually using the Choose Add-Ons option in the Estimated Charges section. |
When users click Next, they are navigated to the Frequency section. The add-ons selected for the package are displayed in this section. Users can select the frequency for each component in an add-on. To select a common frequency for both the add-ons and individual transaction and inventory items, users must select All Items and choose the preferred frequency.
When users click Next, they are navigated to the Summary section. When the accordion for an add-on is expanded, the list of add-on components is displayed. Users can also modify the selected items by clicking on the item name displayed as a hyperlink. When clicked, users are navigated to the item selection screen where users can select a different item. Users can remove an add-on or individual transaction and inventory items if required by clicking on the remove icon.
When users click Save, the selected components are added to the group and displayed in the Components tab.
Display Group Components
As a part of this enhancement, the Components and Add-Ons tabs in the Room Blocks tab of groups have been modified as a single tab, Components. This tab displays the fixed, allowance, and add-on components added to a group.
Two headers, Package Component, and Additional Add-Ons are displayed in this tab. An accordion is provided for both the headers. The fixed, allowance, and add-on components that are marked as Mandatory are displayed in the Package Component section. The components that are marked as Optional are displayed in the Additional Add-Ons section.

Impact on Groups

Users can continue to add components to groups as per the existing functionality. The group becomes a package when an add-on, fixed, or allowance component is added to the group.

Rates configured for the room blocks created for a group in the Setup section of the Room Blocks tab are considered as the nightly room rate for the group.

The add-ons selected as group components will also be available for the group’s shoulder dates. Both the optional and mandatory components will be available when a reservation is booked for the shoulder dates.

Routing rules added to a group will be applied to both the mandatory and optional add-ons and fixed components if applicable.

When users copy a group, the components added as part of the group are also copied.

The add-ons selected as components for a group are added to the reservations created for the group through the reservation import sheet using the group rate plan.

When the stay dates of a group are modified, the add-ons selected for the group are applied for the modified dates based on the start and end dates configured for the add-on. For example, when add-ons with effective dates from Jan 05, 2025, to Jan 30, 2025, are applied to a reservation booked from Jan 01, 2025, to Jan 10, 2025, the add-ons will be applied to the reservation from Jan 5th to Jan 10th.
Display Add-Ons Associated with Key Access Areas
As part of this enhancement, a new tab, Access Area, has been added to the Room Blocks tab of the groups. This tab is displayed when the Key Access Area feature setting is enabled for the property. The add-ons added as part of the key access area for the group in the Key Access Area field in the Reservation Presets tab are displayed in this tab. When no add-ons are added for the key access areas, the message, No data available, is displayed.

The key access area add-ons displayed in this tab cannot be modified. They can be modified only from the Key Access Area field in the Reservation Presets tab of the group.
When a key access area associated with an add-on is removed from this field, a Confirmation pop-up screen appears that informs the users that the access area is removed from the group only and not from the reservations already created for the group.
When users click Yes, the access area is removed from the Access Area tab. Users must manually remove the add-ons from the existing reservations created for the group.
When booking a group reservation, the key access area charges are not displayed as part of the group rate plan in the Check Rates tab of the Book a Reservation. They are displayed as a separate line item with a Group indicator in the Estimated Charges tab of the screen.
An accordion is displayed next to the access area name. When expanded, the add-ons associated with the access areas are displayed. Users can remove a key access area by clicking on the remove icon if required.
The key access area with add-ons is also applied to reservations created for a group through ACRS.
When a reservation is booked for a group using a non-group rate plan, only the access area add-ons are automatically added to the reservation. The add-on components added in the Components tab of the group will not be added.
Book Group Reservations with Add-Ons
When users book reservations for a group with add-ons selected as the group components, the total rate of the group package which includes the nightly room rate, and the rate of the mandatory components is displayed in the Book a Reservation screen. The add-ons and other fixed components added as part of the group are not included in the rate displayed.
Estimated Charges Section
A Group indicator is displayed in the Estimated Charges section of the Book a Reservation screen for the add-ons, fixed, and allowance components added to a group. The components marked as Mandatory are displayed when users expand the accordion displayed for the group rate plan.
The mandatory components added to a group are applied to the reservation based on the frequency, applicable for, quantity, and rate defined. Users can also override the restrictions by clicking on the Override button in the Estimated Charges section.
Additionally, users can add components marked as Optional to the group using the Choose Add-Ons option. When clicked, the Choose Add-Ons pop-up screen appears that displays the add-ons and other components that are marked as Optional for the group. When these components are added to the reservation, an Optional indicator is displayed for the component in the Estimated Charges section. The restrictions for the Optional components can be overridden using the Override button.
Policies
The nightly room rate and the rate of the mandatory components added to a group reservation are considered when calculating the following:

Group Reservations with Add-Ons
Once a group reservation is booked with add-ons, the AON badge is enabled in the Reservation Summary section of the reservation and the count of the add-ons is displayed on the badge when hovered upon. Users cannot modify or remove the add-ons added as part of the group components. The Package badge is also highlighted for group reservations that have add-ons added as group components.
When users click the Show complete details hyperlink in the Reservation Summary section, the add-ons added as part of the group components are displayed in the Rates & Package Details pop-up screen.
A Group and Optional indicator are displayed for the Optional components added to the reservation in the Estimated Charges section of the reservation. The components marked as Optional are displayed as separate line items and not as part of the group rate plan. The Mandatory add-ons and components added to the reservation as part of the group can be viewed by expanding the accordion displayed for the group rate plan.
Users can remove an add-on added to a reservation as part of the group, but the components in an add-on cannot be removed. The quantity and the rate of the components in an add-on can be modified in the Adjust Rate pop-up screen.
Users can override the following restrictions for add-on components in the Estimated Charges section:

The Override option is displayed for the user to authorize the restrictions. Users with the required permissions can authorize the restrictions for the components. The following message is displayed in the Estimated Charges section: One or more add-ons/components are not authorized. Kindly override the restrictions in the estimated charges.
The nightly room rate and the rate of the group components are displayed with tax in the Estimated Charges section.
Users can continue to add routing rules to group reservations as per the existing functionality. When a group reservation is modified, the nightly room rate and the rate of the mandatory components are displayed in the Modify Stay screen.
